Microsoft Outlook PST files or Personal Folder Files are an extremely important part of the Outlook Application. Essentially they store all your important information associated with the program, meaning they contain all your emails, contacts, calendar events, personal folder etc. Now you should also know that pst files are very susceptible to several different types of problems and errors. There are many different reasons why pst files become corrupt or damaged and since you are reading this article I believe you have probably encountered one of them. - An unknown error has occurred- 0x80040119
- An unknown error has occurred. 0x80040600
- Pst has reached the maximum size limit
- *.pst is not a personal storage folder file
- Outlook.pst file can't be found
- OL2000: Unable to Use Your Personal Folder File if it Exceeds the 2 GB Size Limit

How to Avoid Losing Data In Microsoft Outlook

Microsoft Outlook is an email client (Mail User Agent to some) which I'm sure you know what it does. If not, let me try to explain it as simply as possible. Email clients are programs or application's which retrieves emails from the web server and downloads it onto your desktop.

Now with that out of the way, did you know that you can lose your mails because of your email client? This is a big deal as email is now a large part of communication both in the corporate world and the private/home user.

How can you lose your emails?

When you use email clients, you risk losing your email just like any other data on your desktop. Here is a list:

  • - Virus attack
  • - Corrupted partitions/volumes
  • - Deletion/Format
  • - Hard Disk Crash
  • - Theft/natural disaster

In Microsoft Outlook versions 2003, 2002, 98 and 97, once Outlook's PST file size goes above 2gb, your emails, or rather, the PST file, gets corrupted.

Installation of anti-virus/anti-spyware

Prevention of viruses, spyware and basically all malware is important as they cause your system and programs to become sluggish, unstable and perform undesirable operations.

And since when you use Microsoft outlook, your emails will get affected as the mails on the server gets downloaded onto your computer.

Backup

The most reliable way to prevent the loss of your Outlook emails is to backup your PST file. To do this, simply copy your PST to another storage media (such as your thumb drive) or another drive on the same computer.

The PST file can be found by simply opening the search function (go to start menu and you can find the search function there) and copy and paste this term into the search box " .pst " without the double quotes.

Wait for the search finish. The default .pst file name is outlook.pst. Then just copy and paste the .pst file onto your backup media. Backup frequently, as you may never know when the outlook files (or any other important files for that matter) gets accidentally deleted, formatted or corrupted.

Computer Maintenance

Although this should already part of your routine, it bears reminding again. You should maintain your system by defragmenting, running scandsk and so on. This is basic maintenance for your computer as it can help prevent file system problems. It also enables your system to run smoothly and prevent system slowdown.

Outlook housekeeping

Yes, even in outlook, you need to do some basic maintenance. This is done to prevent your .PST file from getting corrupted.

Before outlook 2003 (and in earlier versions of outlook 2003), the .PST file limit was set at 2GB. If the .PST file size exceeded this limit, it would be very difficult, if at all possible, to retrieve any data from the .PST file as it would get corrupted.

When you are doing housekeeping, you are trying to keep this limit down and at the same time, helps in organising you mails so that they are easier to retrieve when you need to read them again.

How do you do that? Simple.

Delete all the old mails that you do not need, and remember to empty the trash. Categorise all your mails accordingly. For example, all your work folders should be in a separate folder from you personal emails and so on.

Create a NEW pst file

Another way to keep control of your PST file size is to create another .PST file. Of course, don't create a new .PST file for the sake of creating one.

Have separate .PST files for business and personal mails. To create this a new .PST file, simply open outlook and follow these steps:

  • 1.Go to File menu, to New, and then click Outlook Data File
  • 2. In the next window, you should see two options. Simply choose Office Outlook Personal Folders file. In Outlook 2003, there is an option to increase compatibility with older outlook versions, choose the Outlook 97-2002 Personal Folders File option. Click Ok
  • 3. Then choose an appropriate location to save your new .PST in. Choose a location, and the type in the filename of your new .PST file.

And there you have it. A new .PST file, all ready for use.

In actual fact, prevention of lost Outlook mails is not hard. However, you need to be constantly maintaining your system and backing up your mails which take up precious time. It is a necessary step to take to prevent you from losing all your precious emails.

How to Remove Add-Ins in Microsoft Outlook

Add-ins are small programs used for a specific purpose in different Microsoft applications. For example, there are add-ins for Microsoft Outlook that allow users to send text messages to cell phones or customize the Outlook calendar. However, if an add-in becomes corrupted, it can cause the program using it to experience problems. In addition, add-ins that are not frequently used occupy precious system space. Removing these can help Outlook and the system run more smoothly.

Remove Add-Ins From Outlook 2000--2003

Step 1 : Start Microsoft Outlook. Remain in the main Outlook window. If you are using Outlook 2003 or earlier, select "Options" from the "Tools" menu. The "Options" dialog will open.

Step 2 : Go to the "Other" tab.

Step 3 : Click the "Advanced Options" button. The "Advanced Options" dialog box will open.

Step 4 : Click the "Add-in Manager" button and look for the add-in you want to remove. If it is not listed, go back and click the "COM Add-ins" button.

Step 5 : Clear the check box next to the add-in you want to remove in the "Add-in Manager and then click "OK" to remove it. In "COM Add-ins," click to select the add-in and then click the "Remove" button.

Remove Add-Ins From Outlook 2007

Step 1 : Go to the "Tools" menu in Outlook 2007 and click on "Trust Center." The "Trust Center Settings" window will open.

Step 2 : Go to the "Add-ins" tab of the "Trust Center." A list of all of the current Outlook add-ins will appear.

Step 3 : In the list of add-ins, look to see what type the add-in is that you want to remove.

Step 4 : Select the type of add-in you want to remove from the "Manage" box and then click the "Go" button.

Step 5 : Click to clear the check box of the add-in you want to remove and then click "OK" to remove it. If it is a "COM" add-in, click to select it and then click the "Remove" button.

How to make Outlook your home mail browser

Microsoft Outlook 97/98 and 2000

To setup email add a new account to your existing profile:

1. From the Tools menu, select "Accounts." If you do not see "Accounts," place your cursor over the two arrows at the bottom of the list to display more choices.

2. Click the "Add" button.

3. From the Add menu, click "Mail."

4. In the Display Name box, type your name as you would like it to appear when you send a message, and click "Next."

5. In the Email Address box, enter your Yahoo! Mail address (for example, "myemail@myserver.com") and click "Next."

6. In the box labeled "My incoming mail server is a..." select "POP3" server.

7. Type the Incoming Mail (POP3 or IMAP) Server address.
Example: pop.mail.myserver.com

8. Type the Outgoing Mail (SMTP) Server address.
Example: smtp.mail.myserver.com

9. Click "Next."

10. In the Account Name box, enter your Yahoo! Mail ID (your email address without the "@myserver.com").

11. In the Password box, enter your Mail password.

12. Check "Remember Password" if you do not want Outlook to prompt you for your password each time you check your mail.

13. Do not check the box labeled "Log on using Secure Password Authentication (SPA)."

14. Click "Next."

15. Choose the appropriate connection type under the "Which Method Do You Use to Connect to the Internet" heading.

16. If you chose "Connect using my phone line," you will need to select a dial-up connection in the Dial-up Connection Wizard and click "Next." otherwise choose "Connect using my local area network (LAN)."

17. Click "Finish."

Microsoft Outlook 2007 worth buying: Email Software Review - MSFT

I know that many of those who use the free Microsoft e-mail client like Outlook Express or Windows Mail (for free because it comes with Windows) or by e-mail Web-based services, such as Windows Live Hotmail service. What amazes me is that few of my knowledge, including professionals who are willing to pay in advance.
I bought Microsoft Office Outlook 2007 as an independent program started at the same time, four months ago, and could not be happier.
Here are features I like, at cost:

1. Compatibility between Outlook and Word

I often copy text from Word and paste into Outlook: format. Previously, when I do this is to use Outlook Express and Windows Mail, and the results are usually a disaster. I had to spend time reformatting the text, which I created in Word. It is equally effective for this purpose are not the same thing twice.

However, when I copy from Outlook and paste in the Word. Also, when I received a letter from other countries, I do not see how I can clean much more quickly than any free program.

2. Reported post

Outlook 2007, you can e-mail tag in your Inbox or other e-mail, using a function called "category".

Do you have time to process each message when you get it? Of course not. Categories Outlook allows you to label e-mail string of choice. I use words like "Time", "response", "research" and "Reading." Moreover, you can color code each category. It is a huge time saver, I will not lose the message. Or Outlook Express and Windows Mail have this functionality. 3. Find messages

Windows Mail has a good search function. I believe nothing. However, as a result, I had to open each message individually to see that file. Microsoft Office Outlook 2007 provides a solution. Now open the "Preview" so every time I select a list of projects, e-mail content is displayed in a separate window. Save minutes every time I need to find some, the rapid increase in hours.

4. Incoming e-mail editor

How long do you receive an e-mail may receive unsolicited messages from topics such as "again", "before" or white? Almost embarrassing, old topic information, and then change the subject completely different? In Outlook, you can change the subject line. I need to do is save the original, but the acquisition of [square brackets] much, so when I saw the list, I am well aware of the contents of the message. Outlook also allows you to change any other part of the information clearly.
